backup solutions

hi there,

I'm a student who is doing a research on bookkeepers. I was just wondering how do bookkeepers backup their data files? Do you backup the files yourself, or get some I.T. professionals to do the job once in a while. If you do the backups yourself, what is the most common way of doing it? store it online? save it in another drive/portable drive?

Sorry about overwhelming you people with all these questions but it would be much appreciated if you people can hep me out aww!

For me I back up onto a USB stick, as I can then access the data anywhere I go. I also back up this stick to my main hard drive at home once in a while, just in case.

Backing up data is very important and not enough people do it properly. You also need to think about the security of your data to comply with the Data Protection requirements.

At the moment I do it the same way as backofficegroup, but I am also considering using an online service.

I use usb stick, also hard drive, currently I don't have alot of data to back up so this method is suitable.

Hi Ken,

I have an external hard drive which I back up to. It's quick and easy to do. I can either set it to back up at a certain time every day or just simply press a button to back up there and then.
I can take this wherever I go and use on any pc.

Ahh floppy discs. We used to have boxes and boxes and boxes of them.

To answer the OP, I use a rotation of USB sticks, which are rotated off the premises, just in case the office burns down overnight!

Online back up via our internet security provider Bullgaurd. Plus internal copy from one PC to another.

Have a client who use tapes. Yes, tapes in 2011.

Cheap and cheerful solutions are ADrive and Acronis

Acronis is about £40 a year for upto 250gb and Adrive is free for private (ahem..) use up to 50gb.

Acronis comes highly recommended though.

I initially backup to Dropbox and set my external harddrive to backup my Dropbox on a daily basis. Once a month I backup the individual files to a recordable DVD. I like to keep three copies and have them all password protected should they be stolen.

I'm another Dropbox user. The fact that your can share folders with a client is really useful and you can access it easily via a smartphone app.

I use dropbox and use cloud based applications, such as Google Apps for my email. It really is an awesome solution. I purchased a new laptop recently and I didn't have to muck about with transferring data as dropbox did it for me.

Accounting Shield?  Can it make an automatic backup of any file?  Can it automatically backup multiple excel spreadsheets in one go?  Can it backup VT for you?  Can it backup QuickBooks?  Can it do anything other than work with the overpriced Sage?  If NO, sell decent software that bookkeepers want! 

Oh dear, AcctShield you sound desperate for sales. Your first post looked spammy, this one more so.

The fact is, Sage is no longer industry standard software, so it doesn't matter if it can integrate with Sage. Many here wouldn't touch Sage with a barge pole.

Yes, it did sound like a fair assessment......Not!

Sage is overpriced rubbish though, why design software to work solely with it then push it down our throat? Isn't one post selling your wares enough?

I use an on line automated back up system called Carbonite. Have had to restore from it, worked well. The best bit is it continually backs up without me having to do anything.

Carbonite?  Can it make an automatic backup of your Sage Accounts data?  Can it automatically backup multiple companies in one go?  Can it create the .001 backup file for you?  Can create the .001 file without you needing to exit Sage?  Can it inform you if a Sage data file is locked?  Can it backup ONLY your Sage data, and your Templates (e.g. can you select which Sage Data Types to backup and which to exclude?), can you share data with your accountant or support which you backed up with Carbonite? 

The answer is NO to this and more.  But Accounting Shield can do all this, and more!

Still so far so good on the Sage front. Was touch and go the other day when a client was adamant that they wanted it but it seemed only because that was what everyone to date had been telling them that they needed it without actually explaining to them that it wasn't actually their only option.

As it was the case was one of the simplest one man band setups I've come across and absolutely no need for Sage... I think that my selling point was when I gave him cost comparisons to other software.

And yes, I'm doing his books now in VT biggrinbiggrinbiggrin

Personal view is that whilst I think that the Sage tax on our clients borders on criminal the product itself isn't that bad (although I think that VT is much better).

However only by people turning their backs on it can we hope to make them wake up and smell the coffee about their pricing structure.

Reading all this stuff at the moment about the accountants version of the Sage one cloud offering and my first thought isn't "Ooh, that's reasonably priced" but rather, how long before they crank up the price to the point where peoples eye's start to water. (By the way, wouldn't that automatically back everything up for you anyway without third party software?).

It's a sound marketing approach but to my mind should only work where a business hasn't stitched up it's clients with the same trick in the past.

I think that shooting the busineses that tries to hang off Sages coat tails though is a little cruel in that whoever it is whose posting for account shield just saw a market opportunity and tried to fill it.

Fully appreciate that although they just got it with both barrells they are not really the point of your annoyance. That I'm sure would be Sage themselves.

I don't see Account Shield getting any sales from this site but as it's a legitimate product like other software vendors, cloud pushers and Franchises that advertise on here I think that it's only fair to let them have their say.

Cloud pushers... I like it. Wonder if it will catch on!

I assume from your post that you've yet to look at the software they're selling. Have a look in particular at the pricing structure, it puts Sage to shame.

Hi Kris,

you were right, I hadn't bothered looking at their site (Basically I see Sage and switch off).

Ok, change that "I don't see Account Shield getting any sales from this site" to "Account shield won't get any sales from this site".

Think that they're having as much of a laugh as Sage over their pricing!

All they're doing is backing stuff up. You could afford a couple of 1tb backup drives for the price of backing up 5 companies and why would anyone pay anything at all for support for backup?

Will depend on the size of the company, some firms will have an IT infastructure where all data is stored onto a server and then backed up usually on a daily basis.

Personally I signed up for Rackspace's online storage (6p per gig per month) and then use Cloudberry to perform a backup on a daily basis.

Another option is to use something like dropbox or googles drive as these offer 2-5gig for free and will automatically copy all files in a specified folder to your online account automatically.

As above, I have all my data in one folder.

I back up to an external drive, and another PC on my network.

I also automatically back up to Microsofts Skydrive. I think you get 5Gb free or if you have had a Windows Live Id for some time, you get 25Gb free . Not sure of the exact details but thats what I get.
