What is my Sage Debtors report up to.....arrgghhh...need help urgently please

My aged dedtors report in Sage is not printing all the 'details' - any ideas??

Further explanation - in one client code I have numerous clients and the details field in that account always reads client name, client ref number, second client ref number. All the report now shows is the client name, this can be varying number of characters, so it's not like it's even just got stuck on character number 10 say and blank thereafter!

Sales invoices are uploaded to Sage from a CSV file. All the details are on the CSV file. All the details are in the details field if I look the invoices up in financials or maintenance, all the details are there, in Sage, but Sage is not printing them.

Also, there are invoices that are old, unpaid and so are included on reports I run a week, month ago, and all the details are there, but not anymore!! It's just like Sage has decided that from a random date, it will not print the full details.

Now this is a major issue for me because the clients demand to see these ref numbers when I send them debtors listings, and if they do not print automatically I have to go in and manually copy paste/type them all in, there are hundreds!!!

I have shut down Sage and re-opened, this did not help. I am now going to close down my whole computer, see if this works, fingers crossed, any ideas in the meantime very gratefully received.

I do not know what's going on. I have logged back in, and the details are still not showing on the preview. I thought I'd export it anyway, as an Excel file, without much hope, but there they are....all the details!!!!

Why would this be and should I be worried?

Hi

Not going to be a great deal of help but can suggest a pointer.

Is it possible someone may have changed the report layout, or the default report?

I am not that familiar with Sage report designer but it must pick the details from a data field. The data may be present, which is why it appears in the Excel file but if it is not in a visible field in the report, it wont show.

It may also be something simpler

I had a similar scare, a couple of weeks ago, when I decided to purge all old remittance advises from the bank module. When I went back into the supplier module all I could see was current, outstanding invoices, no activity at all. Sent me into a bit of a spin but luckily had done a backup before I did the purge, so restored and tried again. Same thing happened. The problem turned out to be quite simple, someone (me?  no) had selected the show OS only tick box in the activity screen, and I hadn't noticed it.

hi, is it a made up report template or a standard? If standard have you tried a simililar report to try and eliminate where the error could be. If it is a "self made" template it could be due to an adjustment to report being made that does not quite suit the report.

Thanks for your replies.

Donna, I did what you suggested and ran a similar report, aged creditors. I ran it for one supplier and look specifically at three invoices I posted yesterday.

On the preview the full details are shown for one invoice, but only some of the details for the other 2!!! All the details are there, I checked. When I download as a pdf, it's the same as the preview, with details missing, when I download to Excel all the details are there for all 3 invoices!!!

It's a standard report.

Bill, I thought I might have ticked something, you know sometimes you go just a bit too quick, click, click, click and you're not sure what you've done?? But if I'd done that then surely it would show all the details or partial details for all the entries!

I'm baffled!

The symptoms sounds like corrupt data files to me.

Does Sage have any data repair utilities?

Oh, that does not sound good, corrupt data files.

I do not know about data repair facilities, I'll have a look round. Now might be a good time for my client to pay for some Sage Support Cover.

Have you run Check Data at all? Does it come up with any errors?
