Payroll holiday cover

Hi all

Do any of you have any advice on payroll cover for holidays?

I now run a few weekly payrolls so when I finally manage to get away on holiday I am at a loss as to what to do.

I have been thinking of estimating the payroll with the clients permission or as a last resort taking my laptop away with me but how have any of you got around this issue?

so far I have taken the laptop with me - beats sitting in an office.

I have a netbook so easier to fly with.

Hi Rob,

I too have a few weekly payroll clients, but only two, with 4 and 20 employees, have variable net pay.  My holidays are usually only a week at a time.  When this first came up I imformed the client of my impending holiday and we agreed that the week I was away the payroll wouldn't run and they would pay an estimate wage to the employees.  When I was home I would then run the missing week to get the correct net pay and any adjustments were made on the next pay day.

So all the payroll weeks are run correctly, just estimates are paid for when I am away and corrected when I am back.

I hope that helps and makes sense too.

I only have one weekly the rest are monthly. It's a pub and she estimates the week I'm away then adjusts when I get back.  In fact in January she went away for 3 weeks and estimated them all and we sorted it when she got back.

Apparently working whilst abroad is on the rise, it's now called the 'worliday', wherein professionals will be taking more breaks, providing they take their gadets with them, their blackberrys, iphones etc. Sign of the times.

I wonder how estimates will be allowed for under Real Time Information (RTI) of payroll data due to commence next year.

There could be a knock-on effect: will employee entitlement for the new Universal Credit (new state benefit) be based on earnings estimates?

If so, it defeats the object of RTI.

Under RTI the monthly information to HMRC will still be correct so I'm thinking it shouldn't be an issue.

Yes, monthly. I am thinking of changing a couple from weekly but that will be an uphill struggle with some clients.

 Agree, especially small businesses in the low paid sector, it's not the clients it's their employees who prefer weekly pay.  I remember changing one over where the employer insisted that it be done gradually, ie two weekly, three weekly, four weekly and then wanted it remain at four weekly rather than monthly because the employees couldn't cope with four and five week months.

There's a thought - even fortnightly would be better under RTI. I don't think its clear yet that weekly wages can be filed monthly.

Think they've got rid of the simplified housekeeper thingy scheme as a statement of intent that everyone's going to be tied to internet filing wherever they are in the world. I'll have to put the payrolls on blackberry.

Payroll providers, if not already doing so, should be looking at providing IPhone Payroll Apps - mindst you I don't fancy entering all payroll data using those fiddly little touch screen keyboards!

Tom is there a 12 Pay App or one in R  & D ??

I didn't realise that many larger employers are not going to be ready for this either.

For a lot of micro employers, RTI will be a considerable new expense because they'll have to start paying somebody to chase up to date information.
