Changing customer codes in sage

In sage in the customers list alot of the codes are like this: Mr R Smith code MRRSMI or Mrs D Jones code MRSDJO

It makes it difficult to find them when doing invoices.

I have tried to change the codes but it saves them as a new customer and keeps the existing customer record.

Is there a way to change to codes?

I think you have to wait until you have run year end and then set up a new account, you then delete the old one.

There is no way of changing the account code once you have entered data against it.

Pain in the bum, i know Kay.

It isn't possible to change the customer codes - that's why it's wise to choose a system of customer codes at the start that make finding things easier.

eg SMI-001, SMI-002, JON-001 etc

Just as a note, you can only delete accounts if you have run the clear audit trail option which clears transactions from the accounts up to a certain date.  If you have not done this then even if the account is balanced at zero you will not be able to delete it.  If you run the clear audit trail, use with caution and always keep at least a year's worth of data. (Never run it for the present financial year) and always take a couple of back ups first.

If you don't want to run the clear audit trail there is a way of hiding those Customers that you no longer wish to see/use, by using the Analysis fields in the customer record and the Search option.

It can be done by purchasing a sage ad on - I sell the ones by Adept Solutions if you would like to buy its called - Adept Sage 50 Product and Account Code Changer - approx £ 99 + VAT.
Other solution would be if you would like me to do adjustments for you and send over new back up - email if required info@completebookkeeping.co.uk

Sage do suggest first 4 letters then 2 numerical ie BUSI01 Business Exhibitions


If you plan to change yourself I would suggest creating new suitable coding asap and slowly not using the old ones - the sooner you stop using them you can slowly delete after year end/ audit trail - they may take a while to disappear though.
