I have only ever completed payroll year end whilst working as a Bookkeeper within a construction company so I only had one payroll system to worry about.
Now I am working in an Accountancy practice and have around 70 payrolls to process.
Is there something I should be doing before year end such as giving clients a report for the full year to check and also PAYE payments for the year just incase there are any changes to be made before I actually process year end.
Also, does the sage system process each year end one by one?
What is the usual routine after year end has been completed. Do I send the whole payroll records for the year back to the client with P35, P14's and P60's or do we keep these in our archives? What information does the client need at year end?
Given the fact that you have RTI to deal with soon, I would be making sure that the names, address, date of births and NI Numbers of all the employees are correct on the system.
I would be sending the P35 and P14/P60 to the client only. I would ask the client to check the payment of PAYE.
If they want any further information they require then they can ask you for the info.
You should first send all the companies with an provisional P35, which they need to double check with their PAYE, NIC due and payments made.
Once if they are satisfied with the provisional P35, you can then go ahead and submit submit the P35 to HMRC and provide P60's to their employees (or to employers who can distribute it to their employees).
This is how we do it.
There might be couple of queries with some of the provisional P35 which you can resolve it prior to finailising the final P35 and submitting it to HMRC.
