As mentioned in the Accountex post I thought I would share a great bit of kit for collecting monthly fees.
We have just signed up to GoCardless and I have to admit it is amazing.
You can easily setup DD's (not Standing Orders) for your clients and have recurring payments setup automatically all for 1% fee up to max of £2 per transaction - ours work out at 54p each month
All those of you offering fixed monthly payments should take a look. You dont need a merchant account and we got setup in just a few minutes.
It can also be used for all your other invoices and takes away the stress of waiting for clients to get round to paying (we have all been there....) - you just set the date, (obviously notify your client) and go from there..
The best bit though is the integration with Sage (Sorry Shaun) - just had a demo where it is all done in Sage from setting up the DD, to having it authorised to receiving the money - all the postings are done for you including the fees...
Now, I might be easily pleased but that has just made my life a whole lot easier & would have when I was in practice too.
I've been using this for some months now. The problem with it is that if you want to vary the amount then you need to use their API (not for a novice) or pay for a third party addon (or use QuickFile for invoicing). If they had built this into the system it would have been much better.
The client has to authorise a maximum amount you can take in any month, then you can draw down up to that amount. The only other downside is that it can take 14 days between the money being drawn down and hitting your bank account.
That said, I'm quite happy with the system and will continue to use it.
Yeah, you always could create and amend fixed monthly plans, what you can't do directly with them is flexible monthly plans. For this you'd need to use their API or a secondary provider.
Hi Kris - think this has changed now - I did just that today - you post or change the amount each month, client approves and payment made all on the website
Sage link though is key for us... it will all be controlled within Sage & invoices raised
I will clarify with them as we will need flexibility.
Cheers

Ah right, this is just setting up a new dd each month then, remember this takes longer as the initial payment is an extra few days wait. If you use the API or addons what would happen is that the client approves an upper limit each month, say £100, then you can draw down up to that in a month without the client doing anything else.
OK - This is what must have changed recently - the limit is now £5k a month per customer, they authorise a blank DD which enables you to add any amounts up to that. No need for API anymore
Client gets notified of amounts you are drawing before it gets taken from their account.

I've just had a look and believe it or not they have changed it in the last few days. I setup a new customer last week and it wasn't like this. While they've been off shouting about this to potential customers, they didn't feel the need to tell existing customers. Poor show really.
I'm part of the GoCardless team. I'm sorry to hear that the lack of variable billing functionality has inconvenienced you. We recently built the new variable billing tool, and initially launched it only to new users. Over time, we are migrating over all users of the old system. Unfortunately, doing so is quite a challenging technical job so we have been cautious to migrate people gradually, lest we create any problems with your current customers and subscriptions.
I do hope you'll bear with us while we work to migrate everyone with minimal disruption.
Jeremy - glad to hear you're using the Sage plugin. Do let us know any improvements you would like to see!
Thanks, Maya
