I read the article that was emailed out today and the link provided to HMRC, which states that it must be '' easy for VAT officers to check, and the figures that you have used to fill in your VAT Return must be easy to reconcile''.
I wondered what the forums view is on this - do people print out any reports which show the exact make up of the VAT return (eg for Sage - the 'full detailed' VAT return) each time?
Im a bit concerned as with one of my companies it would run to quite a few pages, they often have no ink in their printer anyway and with their Sage (Sage 50, version 12) I cannot seem to get back into previous reports, so if I dont do them when I need them - tough!

Unfortunately I cant do PDFs from my sage - well I think I may be able to do so if I download something called 'cute pdf' whatever that is! Ive just started emailing myself a HTML version of the full report so at least I do have something now.

I always physically print off the VAT return itself and the VAT Summary, but as the detailed report usually runs to loads of pages I save it as a pdf document using Cutepdf as well. Once you have downloaded this you can create pdf files from Word and Excel as well (Although there is an add-on now where you can "save as" a pdf)
I have a new client who is using version 12. I'll have nosey next time I am there. I have just looked at my 2009 and that as the option to Print. Email. Export. I cant remember what the older version looks like.
The other thing you may be able to do is export to XML viewer.
You should be able to run a VAT report ticking the box "include reconciled transactions" which is great... ONLY if you haven't posted anything outside the quarter, since running the return!

Like Chris, I export the VAT return and the VAT Detailed reports as PDF. The VAT detailed is an absolute must as it gives a full breakdown of whats behind the return.
I am surprised you cant get an Adobe PDF from your Sage? What version are you on?
Im on Sage v12. I can print the VAT return off when Ive finished it, but once its save and reconciled I cant get back into it - just keep getting this weird error message!!
Wasnt helped by being at a customer's when their printer ran out of ink half way through, hence now why I started to email myself the html file, cos at least then I can get back to it if I need (Although I have forgotten to do that once or twice!!!) I have post its everywhere!

Nope! I get a print option, which when I click on it I am then given the option to preview. When I click on this it shows the report and then gives me the option to email, which I do and then I can email myself the HTML version - which of course I can only then access if the internet is on.

I think just go with the first option of printing to PDF using CutePDF.
I use it with VT accounts in order to print a full set of accounts into a file so that I can email it as an attachment.
Have you tried CutePDF foxy? Its really good, you just set it up as a printer and print to that one rather than the one with ink in it. simples.
Definitely one of those products that I think that it would be really difficult to live without once you've used it.
Anything that you can print you can create a PDF from.

I have seen Cute PDF in operation in my old employment - I think at that time, an older version of Sage was in use, and it didn't have the comprehensive export facility that it does now. Everything I use exports to Adobe, so I don't have a need for it. I do use a payslip software alongside Basic Tools, but this only exports to the XPS viewer. I must email the guy and ask for PDF as a new feature :)
PS - For those who don't know, XPS is the same as Cute in that you print to it. Most Microsoft machines have this viewer built in automatically, and its usually already in the printers list. Dont quote me on that, though! I wouldn't use it over a PDF, personally.. but its a useful option if you get stuck

Thanks - I will give the other options a try and wil also try to find the built in one, otherwise I will download Cute, especially as I now know its not dodgy software, lol
