Matching up payments on account in SAGE
Permalink Closed

Hi

I just wondered how you match up POA in Sage for various reasons I have invoices that have been put on after the payment was made. Any one know how I can match up the POA to clear the invoice?

Many thanks

I only have a very old version, and a rusty memory, so hope this helps until someone else comes along! Post a purchase payment using the date and reference of the payment on account, but with zero value. The POA and outstanding invoices will appear and you can allocate them against each other. Make sure the payment amount stays at zero. If you're on VAT cash accounting, the tax codes need to match. You can also do part payments of invoices this way.

I hope no one says it's all totally changed since version 8!!!!!!

go into Bank, then suppliers then just click on the payment and the invoice in the 'paid' field- your balance should come back to zero then save

Yes, exactly as Sharon said, it is that easy. As John said too, if you are on cash accounting for VAT the T codes of the invoice and POA must be the same otherwise Sage will say it can't match them off. If this is the case, let me know and I will tell you how to remedy this if necessary

Has the way you do things changed since v8? I could support versions up to that with my eyes shut, but wouldn't like to confuse anyone by trying to be helpful if it's different now! I don't think anything much changed right from when the appalling Sterling for Windows was replaced by the first version of Line 50. Except the price, which is why I dumped Sage!

Hi John,

No, I don't think it's changed a huge amount.  I think I started off first using Sage round about v8 but it was a long time ago and can't quite remember, but I think I used to deal with matching up POA with invoices in the same way.

I started with sterling and am now on version 2014 -the basics are all the same it's just the ability to do additional things that has changed -e-submissions etc

The T code match has always been a problem if they ring match and you are on cash accounting

Thank you very much for your help.

Does anyone know how to do the same thing in Quick Books?

Hi Rachael,

Does QB allow you to post payments on account?  Usually if I have a payment without an invoice I will just post a cheque payment. Then when the invoice comes in I post the invoice, pay it in the normal way and then delete the cheque payment.  (Being careful to re-reconcile on the bank if this has already been reconciled)

Hi Pauline

You are right it doesn't let you in the first place only lets you put it as a credit.

Cheers
Rachael
