Completely flumoxed myself doing roll back in Sage 50 payroll - please help

Hello,

 

I have been left with doing the book keeping since the usual bookeeper retired - all was going well until now!no So I am hoping someone can firstly understand what I am about to write and come to my rescue.biggrin

Without going into everything I have done as I can not really remember - to summarize, due to doing roll backs my two latest monthly P32s do not actually add up to what the payment summary 1 + 2 say. 

I was processing the payroll for 3 staff, one of whom would be also a leaver.  No holiday pay or any extras needed as they are moving to a sister company so all employee benefits are moving with them.

I did the FPS before noticing anything - I don't think it has been affected as the print out seems to including everything it should.

When I had completed what I thought was the correct process, I noticed that the employee marker as a leaver, their info was showing that they were updated last on the 28/09/14 rather than today's date 28/10/14, FPS was showing 28/10/14.  The other two employees were showing 28/10/14 for last updated and FPS.

Since doing the numerous rollbacks I have now, no month 6 information for this employee so P32 is not reading correctly, and the month 7 P32 is not including any information of this employee either.

Also the last payment to this employee is also showing more than it should as at some stage sage told me this employee is due a tax return - probably due to my re-doing of this while trying to get it right.

I hope this post is understandable and that someone can figure out what I need to do to have it all correct.  I hate having things not add up.

Fiona,
Have you taken back ups and printed any update record summaries?

THE FPS's will not roll back but you can do an FPS adjustment once you know where you are. The process date is last month presumably because after doing the roll back you haven't updated that process again, which may account for why there is no data on the current P32.

Was there a tax code change at any point, remember a roll back will just take you back to the last process (or earlier) date and will not remember any changes for tax codes.

It's a bit confusing to know exactly where you are with everything, however if you have a back up of the payroll before you started all the roll backs I would be tempted to go back to that position and then get it clear in your mind what you are trying to achieve. Since it is such a small payroll perhaps you would be better restoring earlier backups and re-doing the last couple of months again for everyone, you can then check the results against any reports you may have?

Thanks for your reply Rob.

I know it is difficult to pin point what I did wrong.  I completely confused myself in the end hence posting on here.

To answer your questions, as I am somewhat to using sage (I know the bare minimum and when that goes wrong I panic! - not really but it's difficult to know how to resolve some issues when you only know the basics needed) I back up like crazy and print everything!

So do I just go to restore and pick a month that I know is correct and work from there?  Do I change the date of process to match the month I am working on?  It seems like the easiest and most logical option.  As I have said I have checked the FPS and that is fine so I don't need to make any adjustments to that, only to what is on my sage system at the moment to it will all be okay for year end etc.

I would restore to the earliest point too where you know it is correct and work forward from there, if the FPS is correct you should be fine -check everything step by step as you re enter everything and before you update each period

Do I roll back to a month I know is correct and then do a restore from there.  Or go straight to a restore, I have never done it before so am not sure of the process.

Just do the restore, it will put you back to a certain point in time so anything else you do will be redundant because it will just overwrite the data with that back up.

You are not going to believe this!!!!!

After all your help in solving my silly problem my boss now wants to keep that employee on the books for the company that we issued the P45 from.

Do I need to re enter them as a new employee with the information from their P45 or is their a way to untick them as a leaver?

I am sorry for this, I was so chuffed that your advice got me out of the sticky situation only for my boss to turnaround and change his mind, ggrrr! Oh well.

If you made them a leaver and sent the FPS to HMRC with a leave date for them then I would set them up again as a new employee (using the P45 details you submitted)

You can untick the leaver status but it will cause problems if you have already informed HMRC

Did you do all the roll backs and get your original problem solved?

Yes original problem solved and everything made sense until yesterday when I was told the leaver is now not leaving!

I will set them up as a new employee and hope that rectifies the situation.
