Paypal Transactions help
Permalink Closed

I'm trying to download a report that will show me all transactions in and out of paypal, including fees. The site has changed drastically since last time I needed something like this   If I view an all activity report I get invoices sent invoices paid and a myriad of other stuff I don't need.  With over 1000 transactions that's a lot to wade through.  I did try using the filter button on excel and just highlighting what I need which nearly worked, but there's obviously some payments that it's not included because I have a paypal balance of -£1300!!

What I could do with is something akin to a paypal bank statement, and I'm sure they used to do something like that. I can see an activity list which looks like it's what I need but I can't see how to download it to excel.

Hi John
I dont have access myself but do have to remind a client every quarter and usually he gets it wrong 3 or 4 times before I get what I need, albeit I generally only then get pdf reports. However after tearing my hair out I usually accept these cos then at leass I know there has been no 'twiddling' with the report and it shows everything. But he doesnt have that many transactions.

I understand the process is from the landing page - Welcome ****

Activity tab
All Activity
Right hand side of screen under the Email Address/Search Boxes - Download

You can choose the format of the file - CSV although I understand the maximum now is 31 days at a time.

Hope that gets up what you need, although It may not do so! Sorry if it doesnt!

Hi Joanne,

fear not, the maximum is still two years.

Whilst on occassion I accepted printed or PDF bank statements my line in the sand is that PayPal has to be downloaded as the simplest transactions seem to come with so much extra crap. (see below for mention of the four line foreign currency translation).

Hi John,

you may find it easier to go to the bottom of the page and select the classic site option which is more user friendly (everything is there in both versions of the site, just in the newer one it's all well hidden).

Don't worry about the number of records John, you'll end up discarding half of them.

One word of advice. Accross far, far on the right hand side is a balance. Vopy and paste that to a new column next to the movements and keep an eye on it. I've recently had some entries marked as failed where the account balance moved! I've also had entries saying completed where it hasn't.

Have you got any foreign currency translations? Hate the way that they are spread over four rows. But, you'll soon get a dab hand at keeping the sterling value and charges and losing the other three rows.

Other handy hint... Always mess around with a copy of the download in a seperate worksheet of the same spreadsheet.

I also add a column right at the start and give every entry a sequence number before starting to play around with it (helps when you need to get things back into the right sequence later as dates and times alone are insufficient).

All the best both,

Shaun.

Thanks Michelle - That's the report I've downloaded.  The problem is that the client sends a paypal invoice first which is then paid, and both these show in the csv file.  I've tried filtering just the info I need then pasting it into a separate excel sheet then adding a running total.  Probably me doing something wrong.

Thanks Shaun - Found the classic view but I still can't get the report I want.  The activity report would be fine, and on screen it shows 0.00 in the nett column for an invoice raised.  When I transfer it to csv it shows the total in the nett column, so I get invoice sent 50.00 0.00 50.00 then payment received 50.00 -1.80 £48.20    Fortunately there are no currency issues.

I think the way I'm going to have to do it is via a monthly sales report for monies received then a separate report of monies paid (60 in total)  Thoughts are to import the daily totals into VT and keep a pdf of the related transactions.  I presume that will be ok?

Sacre Bleu!!!  In my (weak) defence I had just typed a reply to Ian on the discounted VAT thread and I had mentioned Michelle.  Does that work?????

Nope? Oh well, time to grovel then

Dear Joanne, please accept the most humblest of apologies for my terrible faux pas.  My one consolation is that Shaun will end up a lot fatter than me!

ps Just seen your post as I broke off for a phone call.  I'm staying well away from Cheshire for at least 5 years.  It brings a whole new meaning to "on me head son"

lol. Think that pic is from Manchester, or Liverpool rather than Cheshire - we is posh round 'ere tha knows. Cracks me up every time I look at it. At least I was compared to a nice lady - couldve been a lot worse. Lots more grovelling required methinks, but at least you wont be busting out of your trousers like someone we could mention after he has been eating all my French patisserie. (see - posh, they arent just cakes anymore!)
