This is driving me mad and stuck as to what to do...
A client has their own Gateway ID for Vat and PAYE. They closed one PAYE scheme and opened another. When I registered them for PAYE it give me the option to enrol for on line services , which I did. ( there wasn't an option to add a PAYE scheme to their existing one, or if there was I didnt see it)
Anyway, I got the letter to say an activation code would be sent in 7 days. As it was nearly the end of the month I clicked on the I HAVE LOST MY CODE as it had been 7 days , last week thinking I finally got the code but wasn't sure if it was the first one or the second one so I entered it, and entered it incorrectly . When I tried again it said I had to enrol for online services again.
The rate I am going it's going to be the end of next month before I get the activation code, is there an easier way I don't know about? And wont they be fined for late submission?

Im confused - it says they opened another and you have opened one, so now dont they have too many. Although I would say - why not just re-open the one they already had - it is possible, just ring HMRC.
Also - the HMRC site says you should wait 10 days for a letter so if you start re-ordering codes they will cancel the first one. All very annoying to wait in this day and age but not much you can do to get around that. You should be able to access the system with what you already have to be able to order a third code. Although I think after three ts over and out and start again, but I could be wrong.
Are you not registered as an agent?
What software are you using to do the payroll? Most commercial software, including the likes of Moneysoft enables you to process their payroll without them having the online paye set up, direct from the software.

Not registered as their agent,I only do the bookkeeping and payroll. They have an accountant who does their annual accounts and doesn't know much about payroll
They use Iris but in the software it is asking for the user ID and password so don't think I can submit it before I have this set up....that's what their support told me anyway
When I log into clients gov account it shows the Vat and old PAYE system but I couldn't see an option to add a new PAYE system like we can on our agent accounts - When I initially requested a new PAYE scheme online it takes you straight to register for on line services. So it means they/me will one user id for vat and one for PAYE
On the payroll side only, have you tried entering your agent user id and password? As Joanne says, Moneysoft lets you do this so I don't see any reason why not.

Any advice given is for general guidance and professional advice should be sought applicable to your circumstances.
I would try what John suggests, even though you arent listed as their agent, doesnt matter at this stage.
On the agent front - you can set yourself up as this as its only a problem if you try to have two professionals trying to set up as the latter one just bounces the first one off the HMRC agent list (stooopid system, especially as in some cases you need two!)
Anyway - when you are next at their premises, ring HMRC employer helpdesk, put them on the phone to go through the ID and give verbal authority to speak to you for that one call and ask HMRC to re-set the old PAYE scheme as active again. Find out how long it will take to show on the existing gateway account/if you need to do anything so you can see it online.
Failing that - yes they might end up with two different user numbers - I have a few of those from ages ago. Isnt it just great that everything is linking together at HMRC, not!
Oh and later this year or next, just before they are due to renew their Iris payroll - get an alternative quote from Moneysoft or 12Pay - bet they save about £300!!!!!

They would save more than £300, the software on its own is £400 and then you have to pay extra for the assessment of the employees each month. Currently with the payslip module as well (which emails the staff their payslips ) it's about £50 extra per month, so it will cost them £1000 a year at least. I did speak to them about a cheaper solution but they seem happy with Iris, even though it's not them that has to use it.
You would die you if you knew how much the eternal accountant charges them to do their accounts. And they seem happy to be ripped off with that as well.

Gosh last time I used it it was just £400!
On the Accountant angle though - I might not be surprised. If they are Chartered Certified. Really good at what they do. Do a through job/check everything rather than just prepare from clients figures (#) and prepare accounts. Are your clients in one of those sectors that is prone to inspection? Are they able to fight off HMRC easily or indeed HMRC dont even bother with them as they have fought them off so many times that they know not to bother (one of my contacts has one of these because his sector is very much prone to inspectors knocking every few months, yet in the three times they have tried it with him over the years, they now realise that the Accountant has covered off every penny - drives my contact nuts, but its the only way to keep the wolves from the door so he is very happy to pay!). The overall ££ doesnt necessarily mean they are being ripped off.
# - I know you do the bookkeeping, but unless they know your standard of work, then they may continue to do almost a mini audit each year.

I think they have a look at my bookkeeping from the Sage back up. Never had any problems though and the last Vat inspection was excellent, the inspector told my bosses how good I was as he didn't find one problem
Don't think the sector they are in is high risk either.

Absolutely not saying they need to check your work of course and well done you on the inspection - always good to get such nice comments after what Im sure was a nerve wracking time even if you are confident about it.
Some clients are quite happy to go with the flow and dont like to change anything once they have found professionals they are happy with - so that works in your favour too!
