Private Nursery Bookkeeping
Permalink Closed

Hi

I have just taken on a new client who is a private nursery.  They receive fees partly from the parents and partly from vouchers from various childcare schemes.  I am using Xero and have posted all the fees paid by the parents to '200' and called that Nursery fees receivable - Parents.

When it comes to the payments received from the voucher schemes I'm presuming I create a new code but do I create a code for each different childcare voucher scheme or post them all to the one code?

thanks in advance to anyone that can help. I have a feeling I'll be back for more help with this!

Hi Jo
Welcome to the forum.

So hows about an intro before we start. We always ask newbies!

Usual stuff - what prof body do you belong to, do you work for yourself or in a practice/ firm, are you a bookkeeper or accountant, what qualifications, how long in role, where up to in your studies-what exams passed/with what body/in midst of doing, what you did before this role? That sort of thing. Helps get to know you but also how best to pitch answers.

Wherabouts in Manchester are you based? I'm eyeballing the competition!!

I don't use Zero smero so am assuming the 200 code is in the income side of your p and l.

I would say I would leave the software bit to those who use it, although it's not really a software specific question so let's see who answers.

Do parents pay in advance and what is the rebate allowance for non attendance?

Hi

Thanks for your response :)

I have my AAT 2&3, started 4 but circumstances changed and I had to cut it short.   I work for myself doing the bookkeeping for the Accountant that taught me at college!  However this Nursery is for a friend who has asked me to do the bookkeeping as the lady who has been doing it (all on excel) is finding it a bit too much.  First experience n Nursery fees and was looking for anyone who has a little knowledge in this area.

Yes 200 is income on the p&l :)

Parents dont pay in advance and I havent got as far as non attendance yet :/

Thanks

Jo

Oh no, two Jo's in the same area!! Double trouble.

Welcome to the forum Jo.

Like Joanne, I have no experience of Xero, but as a general comment, unless there is a specific need to have a separate code for each voucher, to me it's sounds like it could be a logistical nightmare. I would just have a single voucher code.

Disclaimer: I have no experience of nurseries, unless we wind the clock back 50 odd years biggrin  Come to think of it, I don't think they had nurseries then.

Oh Jo..hn wink you know there are more than just two of us on here.

Jo - key is, what do you need to do in terms of reporting? If it doesn't need to be split at all (and thats my view), it's just fee income, unless of course your client wants to know what the split is between the two, as per what John said. You can do that by dropping the voucher stuff into another code (if you do this I would suggest all the vouchers stuff), or maybe consider dropping it into departments  if they have such a thing in the software.

John - maybe no nurseries around, but maybe Tufty Club? Although I seem to recall you are older than I am and on the basis Tufty club wasn't available when I was a nipper (#), only available for my younger brothers (gawd they were spoilt!!) then it was probably just a leave the baby in a pram outside job! confuse

(#) or so my Mum told me!!    Although just looked up the history and it was in existance - how could my Mum deceive me so!!!!  disbelief lol  https://www.rospa.com/about/history/tufty/

I've heard of the Tufty Club, but don't recall going to one.  I do remember though, at the age of 4, playing out in the street with some other kids, and they said we've got to go now.  I asked where they were going and they said Sunday School, so I said can I come too.  I enjoyed it and got a lolly.  On telling my mum she went absolutely barmy as I was in my playing out clothes, not my "Sunday Best"
