Taxi Driver's Accounts | Any help much appreciated

Evening.

I have the option of doing a taxi driver's bookkeeping and tax return. He's 5 months started, but has not kept any record at all of fares. Therefore I doubt he's kept much in the way of mileage records. I would guess he uses the car personally as well. Does anyone have any pointers/advice/experience/warnings to share regarding taxi driver clients?

Abit generic I admit, but any words of wisdom are definately appreciated.

Ah thanks Kris. I've had a look through that. Search function was forsaken when I posted that last night.

If the driver starts to record everything from now that will be useful. What would you suggest should be done about the 5 months where he hasn't kept records? Should it be finding out what his mileage was when he started, then a general calculation of what was personal and business, then his rate per mile?

Also I didn't get chance to ask him whether he was registered yet as s/e. Will HMRC come down on him if not because he's 2 months late?

Is he working for a taxi firm or on his own? If a taxi firm you might be able to get the 5 month records from that company as they should have records of the journeys and the driver used.

As was pointed out to me recently by Rob, you no longer have 3 months to register as self employed, you must do it straight away. He's, therefore, 5 months late in registering.

Kris/Rob, I have just learnt something new here then I still thought you had 3 months to register as SE ?? When did this 'straight away' rule come into place please ?

I have just had a look at HMRC website, for a client, and if you were a new soletrader relying on the website to guide you, the advise still says, as soon as possible, or within three months

They must just have got round to changing it:

You'll see the guidance is now:

When to register

You should tell us as soon as you start working for yourself (you cant register in advance). If you delay registering, you may have to pay an initial penalty. Youll also have to pay further penalties if payments become due and have not been met.

I checked yesterday.

Playing devils advocate, I tried to find out what to do if i didn't have a clue and it took me to a page that said up to three months!!!

Hopefully it has now been changed

Thanks for that thought Semsley.

Yes the taxi firm to some extent keep records of what jobs are allocated to which drivers, but I didn't get the feeling that taking the time to unravel and provide this information was something they would particularly wish to do. As it is the drivers who should keep their separate records from the radio system they hire.

Would what I mentioned above be the approach if there was no other way of getting the job records?

Can Taxi's be used for personal use? I was under the impression that a "ministry plated" vehicle is for private hire use only.

Hi Rhodmack,

Does it have weekly boxes for personal and private mileage? I'd rather give PH drivers a book than record sheets, but the cars are usually dual use, and the handful of pre-printed books I've seen omit this.
