Sage Imports from Excel?
Permalink Closed

First Off: I have a good knowledge of Sage and am an advanced user of Microsoft Excel.

Reading around Sage I can see that Sage provide a range of templates that will allow you to import data into Sage. Looking at these templates it looks like they are mainly focussed on the import of non-transaction data i.e. coding / nominal codes, supplier / customer details, budgets etc.

What I cannot determine is whether you can import transction data?

For example: Let's say I analyze some financial data in a spreadsheet prior to posting to Sage. Let's also say that in the spreadsheet I could format the data in a tabular way by way of preparing it for possible import.

Does anyone know if I can import transaction data from Excel to Sage?

If so, can transaction data be imported into the General Ledger and the Sales / Purchase Ledgers?

Any pointers would be deeply appreciated.

Thanks in advance.

Hi Graham

I've just had a look around ask sage, and the only thing I can find is that is possible to import audit trail transactions from excel but only from Sage 50 accounts 2010 and Instant Accounts v16.

It's article 24220
Probably not what you are after though.

Bill

Weird but I came on here to ask the same question.

I shall be looking into it tonight Graham and will let you know if I find anything other than what Bill has found.

I used to import Sales invoices from a CSV file using Sage 200, but I dont believe Sage 50 can do this.

I think the only way to achieve this is via third party directly into the database. I think its an SQL database so its easily done but to be honest its can be a lot more trouble than its worth.

If you can set the spreadsheet up the way that sage want it which is in the help section which would be help>index>import>file details then have a look at audit trail transactions it will show you how to set up a spreadsheet the way sage likes it.

It maybe a tad basic for what you are after Graham but it's got to be worth a look at. It works for me as a very quick way of posting rather lengthy payroll journals which is why I was looking.

It posts into the audit trail and to the various nominal codes but there is also setup instruction for importing to suppliers and customer accounts.

You use the Audit Trail Import to get transactional data into Sage Instant or Sage 50.

Here is a sample file generated from our payroll software:

JC,,207060,0,31/12/2010,12Pay:1 9/11,,5767.11,T9,0.00,1,,

JC is a Credit, and JC is a Debit. The third column is the account code and the 4th column is the department and the 5th the description. T9 and the 0.00 are the VAT columns. I can't remember all of the others, but they are in the documentation. Replace JC with eg SI(?) for a sales invoice and stick the customer account code in one of the columns that is blank in a journal import. (can't remember which one but it is in the docs)

Note, in the example above we were fiddling about with settings for a different nominal ledger so those account codes mostly aren't the standard ones you'd get in a Sage system.

That's great! I set up now my excel tables to acceptable csv format and now I can import everything to sage so I don't have to enter everything twice. Click of a button and all invoices and payments are in sage. I love it, why did I not think about it before.
This forum gives me really good ideas sometimes!
I know it was not my topic but thanks everyone!

It's been a week and a bit since I looked on the forum. Many thanks to all who've posted a response.

(1) I'll be sure to check out the Audit Trail Import this evening on Sage Line 50 2010. Certainly would help with a lot of General Ledger journals (payroll, fixed assets / depreciation, re-analysis etc).

(2) I'll also check out the third party software option - anyone know the name of this?

Once again, many thanks for the responses.

Finally got round to trying the Audit Trail import method.

That's perfect! Allows importing of supplier and customer invoices and any journals to the nominal.

I'm amending my Excel spreadsheets to (a) Have a live (ODBC) to the nominal ledger codes and then have the import format for uploading to Sage.

I really think this functionality is great.

Thanks for all the responses above. Good to read and I learned something new along the way.

Best wishes,
Graham
