I've been asked to do file the P35 for an organisation I dealt with 3½ years ago (funnily enough as a volunteer).
Now because they are getting fined they want me to sort their PAYE out for 2011-12 (this time not as a volunteer).
I won't say too much more on that - but you will probably draw your own conclusions. (The words of Red Adair spring to mind).
The problem I have is there are a lot of employees that are no longer with the organisation. Should I just complete a P45 with today's date (whenever I get round to doing it) ?
There is a spell each year (in June and July) when they don't get paid. Then when August comes around some of them may have left the organisation - so you don't really know until August if they are still going to be employees.
What I find really funny is - I was given a user ID. But no password. Just for a laugh I used the password I had used 3½ years ago and was amazed it worked. Amazed - because I KNOW they changed the password on the old User ID. It is still my name on the organisation's info. My name but they have changed the address.

The obvious answer is to enter the date of leaving as accurately as possible even though it is long after the event.
If the cash book has anything to do with it there may be an accurate date available. If not, a lot of them will be Aug 2010, 2011 and 2012. At this distance, I don't think it matters if you enter the 1st of the month for those who never came back after summer.
Possible hurdles are if your software won't let you enter up to three years ago and if the date will automatically trigger a fine from HMRC. Never had one so unsure about the latter.

It isn't being done on software - it is being done via the HMRC page. The wages were done at that time on spreadsheets. The person that did them is no longer with the organisation. I don't know if the person that is responsible now for the wages is doing them on spreadsheets or using software. I'm also not sure if they are even aware of RTI. They soon will be as I'm givng them enough warning.
I'm hoping they may think to themselves that given the amount they have been fined over this return and also for an earlier year they may think it better to pay someone (me) to do it at a fraction of what they have been fined.
I should point out that it is only part time employment and as most of them have full time jobs they are on BR code. As it applies to around 25 of them the HMRC software won't be any use to them.
