12 Pay - a couple of queries


Hi

Im still fairly new to 12Pay and have a couple of queries

1) I know how to roll-back if an error was made on a previously finished (and RTI completed) month.   Can I use this same process if a leaver has been completed incorrectly (underpaid)?   Will I be able to re-do the P45?  (or will I have to write to HMRC with extra amounts paid?)

 

2) One customer has two payrolls under different Limited companies. He has now opened a holding company for his group and all future payroll is to be processed through this new holding company.  Is there a quick and easy way to move all exployees from the existing two payrolls to a new one?   (Or will I have to P45 everyone out and set up as new?)

Hi Joanne,

I can answer Question 1 - the answer is yes, you can rewind a leaver that has been completed incorrectly. It works exactly the same as if you rewind an employee that hasn't left. You can then reprint the P45 and re-file the RTI. I know as I did this only last month. I forgot to pay a leaver holiday pay so had to rewind her and redo the P45. Just make sure to complete the P45 details and file before returning them to the original payroll.

As for your second question I've just looked in the help on 12Pay and you need to do a search under "TUPE function". It describes how to handle this in some detail. Good luck!

Thanks you very much Pauline, for both of them - I will sort the latter (phew!! I was told the wrong rate of pay for someone who only lasted 3 weeks!!) and I will have a good read of the other one. I was trying the recall the word Tupe the other day and couldnt for the life of me.

Chesire, If you struggle with the TUPE please give the help line a call if you need guiding through it.

But...

The TUPE assistance in the software is designed for converting one company into another though (eg sole trader goes to limited). it isn't designed to assist with merging two PAYE schemes into one. To do that you'd have to leave everyone in the old system manually, and enter them as new starters bringing P45s in the new system.

Have to say I struggled finding anything on their website under TUPE / Tupe function, but I only had 5 minutes to try and Ive only just got in from work tonight so I will try again tomorrow! Epic fail!

I did think I would have to P45 everyone out and re-start the process to be honest but I will give their helpline a call as they have been very helpful so far with my other daft queries.

 The TUPE help is on the online help in the software, not on the website. There is also a specific button for that help on the "Advanced" tab of the employer form.

But your situation isn't the standard TUPE that the software is designed to assist with. Leaving everyone manually and restarting them again in the new company is the only option.

Hi Tom
Its handy to know where it is for the future (as you never know!!) so thanks for the update Tom. Ive only just realised where you are from - am learning loads but dont have much time to play around with it as only in at this business one day per week and it takes all day to do their payroll, but the helpdesk have been fab! Might just be bugging you again as Ive got to set up a new company on there (and they save everything in dropbox). Then in another month or two there will be a fourth company - which will mean an upgrade to your bureau version - all fun and games for a 12Pay novice.
