Actually, I've just checked and gmail does allow SMTP access.
So... Get yourself into Sage's report designer and from the menu choose Tools -> Options and then the "Email Setup" tab. Change the "Default Provider" to SMTP and in the panel below highlight SMTP and click on "Configure"
In the "Email Client" field, it looks like you can select "gmail" and that'll fill in some of the fields - the Server name and port fields - for you, and tick the box for requiring a secure connection.
In the email address field enter your gmail email address, and in the display name field enter the 'name' you want to appear with that (which might be your name, or it might be some generic text like "Company name accounts dept".
In the bottom panel, enter the gmail address in the "User" field, and the gmail password in the "Password" field.
Click "Okay"
That _should_ be all there is to it.
Note: I don't want to change my settings so I haven't actually tested it - but the server appears to be the correct one. However, the port defaults to 587 and the security line mentions SSL. However, according to Google, gmail uses port 465 for SSL, and 587 for TLS/STARTTLS - so if everything appears to be set correctly based on the above and it still doesn't work, try changing the port to 465 and see what happens.

Sage Instant 2012 does not have the same options and cannot be configured in the same way
Is there another process that will not automatically tyr and use Outlook but will let you select the email client?
many thanks

Sage Instant may or may not have exactly the same options (I can't remember) but the options that are there must be more or less the same because I know I've set up a client's for emailing invoices and any important differences or oddities would have jumped out at me and stuck in mind.
Your problem might be gmail: I know it can be set up to allow POP3 or IMAP* access (I have a gmail account which is used for things like domain management, and I access it as a POP3 mailbox), but offhand I'm not sure if they provide SMTP to go with that - and if they don't, I don't see how it can be said to work with Sage, which can be set to use SMTP or MAPI* for sending email.
* IMAP and MAPI are not the same thing, even though one appears to be just the other with a letter at the wrong end.

Pretty sure that Instant has the same report designer as Sage 50 and so should work exactly the same way.
