A couple of questions

Also I have just taken over the accounts for a local craft group which is unpaid. As this is a club and societies account I am finding with the old accounts that they have been signed off but dont add up and some paper working missing what should I do. As I am rusty thank you made me laugh what I will need for this type of accounts for this year really want to do this well.I have made some changes already they never had a money box just an ice cream tub with out the ice cream lol shame as I could have had that.

1. With the subs of 12 people do I need to give them a receipt for paying which is every five weeks and in the summer every week.
2. They also have classes which people come and show new skills but they are paying them cash for coming with no receipts, I really want to give them a receipts of this money as this is coming out of the account or should this be out of petty cash even though there is no petty cash set.

Hi Rachel
I look after the finances for a local Scout Group and treat it they way I do with my business clients and use software for recording everything. You dont need to go that far of course, unless you have software!! I would start as you mean to go on and advise them that all income and expenditure needs to be recorded properly and appropriate receipts given/obtained. I tell the Scouts - no receipt no re-imbursement. Was a bit harsh I guess but they no all make sure that they bring me the receipts, even for a pint of milk!! I dont give receipts for subs received because they all pay by standing order, which makes it easier all round. Ive worked with other scout groups who did take cash and they had a register which was marked up every time someone turned up and they paid (you could always get them to sign it when they have paid each week if you want). Just make sure you stay on top of collecting the subs and recording who has paid. Absolutely get receipts for people who have given them talk/ etc - you could buy a receipt book and get signatures/details and that way avoid it being forgotten about. Doesnt matter whether its out of the Bank or petty cash as long as everything is recorded, oh and it doesnt matter if its an old ice cream box neither, as long as it all balances! Have fun.

Hi Joanne

Thank you for the information. With the ice cream tub I know you should trust people but I bought a money tin which is lockable so limiting the chance of fraud and if someone did nick it at least its sort of covered
