Paperwork etc

Hey. If you work from home, what is the setup In regards to getting hold of your clients paperwork? Do you have them drop it around? Or do you collect? I imagine collecting would be a chore! How often do you see your clients? Once a month? When you do see your clients, are you regularly put on the spot for quick fire answers to questions? Thanks. Apologies if the question comes through as a block paragraph. ..using the ole dog n' bone.

Hi John,

I try to go along to pick up the paperwork where possible as it gives you a chance to have a sit down and a relaxed coffee and chatr about their business. People let out far more face to face thatn they put in emails.

Of course, a lot of the stuff will still come across via email.

When returning the documentation I combine it with signings which again I always attempt to do face to face. I would rather hold onto the documentation a while than trust original documents to the mail service.

The collection and delivery doesn't seem a chore at all and in fact is one of the more enjoyable parts of the job when you get to chat about peoples hopes, aspirations and problems... Plus when you are at a clients place the coffee is free biggrin

Hey, thanks for the reply. What happens if say a major accident happens, or event, whereby their paperwork is stolen or damaged, through theft or fire whilst in your custody? A not so pleasing thought of course, yet...

Thats a pretty sad thief who goes around pilfering second hand invoices, lol. But, as a direct answer, all of my clients paperwork gets scanned and backed up which is why I have no issue giving it back again.

I have a large firesafe where I store CD backups as not all of the information that I am privy to can be entrusted to the cloud (dropbox, not ransomware)... Again, would be a very disappointed thief who broke into that safe! No money, no jewels, just a bon load of CD's, DVD's and USB sticks

What do you use for scanning Shaun?  I don't scan anything, but then again the paperwork doesn't get returned unless they ask for it back, which is starting to become a problem storage wise (was saving that as a topic for after the tax returns lol)

It's something I need to address.

To John:  Some of my clients are 60 miles away, so I make the excuse of visiting once a month, and stopping at a mates overnight and taking time out to visit other friends at the same time (I used to live there) 3 clients post their paperwork to me   One of my client's in Ripon I collect paperwork on a adhoc basis and just bring it up to date and occasionally he'll call by the office for a chat and a update. Like Shaun, this is my favourite part of the job. The others are yearly and they either post or drop the paperwork in.
